ASSISTANT COUNCIL COMMITTEE AIDE – SR 16
General Summary:
Assists the Council Committee Aide to a Standing Committee or Regular Meeting of the City Council with providing administrative staff support to the Committee Chair or Council Chair; assists with coordinating and directing all activities preparatory and incidental to the overall functions of the Committee or Council; and performs other related duties as required.
Duties and Responsibilities:
Assists the Chief Clerk to a Standing Committee or Regular Meeting of the City Council with the following:
- Providing administrative staff support to the Committee or Council Chair
- Coordinating and directing all activities preparatory and incidental to the overall functions of the Committee or Council
- Reviewing and determining referral of all correspondence, applications and other matters directed to the Standing Committee or Council
- May advise the Committee or Council Chair on appropriate course of actions to be taken
- May confer with departmental and technical staff to clarify the intent of reports and communications as necessary
- Preparation of the Committee or Council agenda and its specific agenda order of priority
- Selecting, assembling, summarizing and compiling substantive information on agenda items to ensure orderly review
- May advise the Committee or Council Chair on the process to get input from administrative agencies and reporting method
- May meet and confer with departmental officials to resolve problems in clarifying Committee or Council objectives and responsibilities
- Summarizes and briefs materials and reports to Committee or Council Chair involving interpretation and analysis of data
- May attend briefings, workshops, informational meetings on behalf of the Chief Clerk and report orally and/or in writing results of such meetings
- Composing, refining and finalizing reports of the Committee or Council which are subsequently adopted or enacted into law by the City Council through adoption of committee reports, resolutions and ordinances
- Composing letters and memoranda for approval and signature of the Committee or Council Chair
- Reviewing all outgoing communications for consistency with Committee or Council’s objectives, policies and procedures
- Preparation of the Committee or Council minutes
- Apprising the Council’s Information Office of all pertinent Committee or Council actions taken at meetings
- Prepares Honorary and Retirement Certificates and coordinates with Councilmembers on the scheduling and agenda of presentations
