Job Description Summary
Administrative Assistant II
Under the direction of management, the Administrative Assistant will provide clerical and administrative support for the department.
Administrative Assistant III
Provide administrative support to management and their respective departments. Perform various duties, which may include, but are not limited to, meeting coordination, expense reporting, coordination of certain prepared-by-client schedules requested by auditors, assistance with presentation decks and memos, coordination of department specific documents, and creation of meeting agendas and taking of notes for meetings. In addition, provide administrative and project assistance for pursuit and execution phases on all merger and acquisition and business development opportunities and projects. Work with other administrative assistants to facilitate good communication and coordination among various business units and work groups.

Primary Functions:
Administrative Assistant II
- Provide administrative support to the Management and team in accomplishing goals that support HomeStreet objectives.
- Assist with departmental purchasing including creating purchase orders, processing invoices, and managing the corporate credit card.
- Assist with data input for various projects.
- Participate in Company and Bank meetings as necessary.
- Perform various duties, which include, but are not limited to, meeting coordination, expense reporting, coordination of department specific documents, and creation of meeting agendas and taking of notes for meetings.
- Act as a departmental resource, answers questions, provides guidance, troubleshoot, and follow up with employees and customers in resolving problems.
Administrative Assistant III
- Perform various duties, which include, but are not limited to, meeting coordination, expense reporting, coordination of certain prepared-by-client schedules requested by auditors, assistance with presentation decks and memos, coordination of department specific documents, and creation of meeting agendas and taking of notes for meetings.
- May provide logistical and administrative support during the pursuit and execution phases on merger and acquisition and business development opportunities, including but not limited to, helping coordinate due diligence activities and limited project management support of integration and post-integration activities.
- Produce agendas and meeting materials for internal committees. May attend internal committee meetings and prepare minutes for committees as assigned.
- Assist with the coordination and documentation of department contracts, ensuring they are entered into the Vendor Management process as required and coordinate renewals and filing of new contracts as appropriate.
- Act as a departmental resource, answers questions, provides guidance, troubleshoot, and follow up with employees and customers in resolving problems.
- Assist onboarding new staff by requesting seating arrangement, laptop and office supplies and by planning training meetings as needed.
- Work with other administrative assistants to facilitate good communication and coordination among various business units and work groups.
- Perform other duties as requested.
Qualifications:
Administrative Assistant II
- 2 years of related experience.
- Bachelor’s Degree preferred, with demonstrated accomplishment in relevant course work. High school graduate required.
- Must be flexible; able to multi-task and work effectively within time constraints.
- Demonstrated communication and people skills to work collaboratively with other areas of the bank and with all levels of employees, customers and the public.
- Ability to exercise prudent administrative skills in order to be proactive in anticipating and planning for communications, scheduling and organizational needs.
- Excellent grammatical, oral, proofreading and writing skills, with ability to express self clearly and effectively in writing as well as on the telephone, through e-mail and in person.
- Proficient in business software programs including, Microsoft Word and Excel.
- Willingness to learn new technologies as they become available.
- Excellent clerical and administrative skills, including accurate and proficient keyboarding skills.
- Ability to gather, analyze and present information.
- Strong organizational skills and the ability to handle multiple priorities. Ability to maintain fast-paced, active work style.
- Ability to work as part of a team of administrative assistants and members of management to support the needs of the company.
- Unquestionable integrity and ethics and ability to maintain confidentiality in handling sensitive and confidential information.
- Dependable and a believer in the accountability of one’s own performance. A self-starter, able to maintain progress on long-term tasks without direct supervision.
- Desire to continue to learn and adapt to change.
- Ability to work flexible hours to support the work of the department and the company. This may require attendance at, or assistance with, morning and evening meetings.
Administrative Assistant III
- Bachelor’s degree preferred. Minimum of 3 years experience in an administrative support capacity with at least three years experience supporting senior management level. Ability to handle administrative responsibilities using knowledge of company policy and procedures.
- Able to meet tight deadlines. Ability to work effectively in a team environment, supporting multiple projects and activities.
- Complete high volumes of tasks and projects quickly. React with the appropriate level of urgency to situations and events that require quick response or turnaround and efficiently solve difficult or complex problems that affect people within the supported departments or other related groups.
- Excellent written and verbal communication skills required with the ability to easily communicate and interact with individuals at all levels within the Bank and with outside clients and vendors. Ability to maintain confidential information with superior judgment and discretion.
- Excellent organizational skills required to plan, organize and schedule priorities and efficiently organize work in terms of setting and meeting priorities. Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
- Maintains a strong knowledge of appropriate software packages, including Microsoft Word, Excel, Outlook, SharePoint and PowerPoint.
